A Note Before You Start

This policy explains what personal information we collect when you use the TeamLinkt Cloud Services, what we do with it, who we share it with, and what rights you have over it. For clarity, when we say “Cloud Services” we mean the TeamLinkt platform and/or app. We tried to write it in plain English.

A few things worth knowing up front:

  • Most of the time, your organization is in charge of your information. That is, the sports organization, league, club, school, or association (“Organization”) decided to use TeamLinkt to run their programs and asked you to register. We run the platform on their behalf. If you want your data deleted or want to know what they have, we'll often need to involve them.

  • If you created the Team yourself, you’re in charge. You may have created a TeamLinkt account to coordinate your rec volleyball amongst your friends. In this case you’re in charge of their data, and we’ll work with you to manage their privacy requests.

  • We take children's privacy seriously. If you're under 14, a parent or guardian has to set up your account. We don't train AI on children's or youth’s information, we don't show children or youth targeted ads, and we hold their data for a shorter time.

  • We don't sell your personal information for money. We do share some information with advertising providers solely for when adults use TeamLinkt.

1. Who This Policy Covers

This policy applies to:

  • Users: parents, guardians, youth (14–17), children (under 14 through their parent or guardian), coaches, team managers, volunteers, and other individuals who use TeamLinkt or whose information is provided to or stored in TeamLinkt (for example, emergency contacts);

  • Administrators: people from the Organization, who enabled access to TeamLinkt;

  • Visitors to teamlinkt.com and to organization websites we host;

  • Users of our public AI Assistant, which is available without logging in.

For most information about members and registrants, your Organization - not TeamLinkt - decides how it is collected and used, and the organization may have its own privacy notice that also applies. See Section 2.

This policy does not cover:

  • How your Organization collects, uses, or shares your information outside of TeamLinkt. For that, ask the Organization directly.

  • Third-party services we integrate with (payment processors, merchandise providers, background-check services). Those have their own privacy policies — see Section 6.

If you're a Organization using TeamLinkt to run your programs, the Organization Terms of Service and our Data Processing Addendum govern how we handle the personal information you put into our system. This policy is what we tell your end users about how we handle it.

2. Our Role: Who Decides What Happens With Your Information

Under privacy laws  like the GDPR and CCPA/CPRA, there's a distinction between the controller (who decides what information to collect and why) and the processor / service provider (who handles information on the controller's behalf).

For most of the information in TeamLinkt:

  • Your sports organization is the controller. They decide what to collect during registration, which programs you can join, who in the organization can see your information, and when to close your account.

  • TeamLinkt is the processor / service provider. We host the platform and handle information according to our contract with the organization.

In some cases, we act as the controller — for example:

  • Information we collect from you when you visit our marketing website (teamlinkt.com);

  • Information from the public AI Assistant;

  • Account credentials and security information you give us directly (like your password);

  • Usage data and analytics we generate about how the platform performs, where this information is de-identified or aggregated, or where our Agreement with your Organization permits us to use it for our own purposes.

This distinction matters because it affects who you contact to exercise your rights (Section 11).

4.2 Information We Collect Automatically

When you use TeamLinkt:

  • Device information: device type, operating system, app version, language settings.

  • Device tokens: an identifier that lets us deliver push notifications to your phone.

  • Advertising identifiers: an identifier provided by your device's operating system that helps measure and deliver advertising. Not used for anyone under 18. See Section 9 on how to opt out.

  • Log data: IP address, pages visited, features used, timestamps, error reports.

  • Approximate location: derived from IP address, and (with your permission) device-level location to autofill addresses during registration.

  • Cookies and similar technologies: see Section 9.

4.3 Information from the Public AI Assistant

If you use our public-facing AI Assistant — the one anyone can use without logging in — we collect the messages you send and the AI's responses. We don't know who you are unless you tell us. We ask that you not enter personal information about yourself or others, and that you don't use the public AI Assistant if you're under 14.

4.4 Information from Third Parties

We may receive information from:

  • Your Organization: when they enter your information into TeamLinkt on your behalf (you'll be notified by email; if this happened without your consent, contact help@teamlinkt.com);

  • Payment processors and background-check providers: confirmation of completed transactions or check results;

  • Advertising providers: aggregated measurement information about whether you saw or interacted with an ad.

5. How We Use Your Information

We use your information to:

  1. Run the Cloud Services. Create your account, process your registrations, handle payments, deliver messages, schedule games, and let you participate in your organization's programs.

  2. Communicate with you. Send transactional emails (registration confirmations, schedule changes, receipts), push notifications you've enabled, and service announcements.

  3. Provide AI features. Power Emi (our AI assistant for logged-in users) and the public AI Assistant.

  4. Improve TeamLinkt. Analyze how features perform, find and fix bugs, and develop new functionality.

  5. Improve our AI features. We may use prompts and outputs from Emi and the public AI Assistant to fine-tune AI model behavior — but only after personal information has been removed or de-identified using commercially reasonable methods. We do not use children or youths information (under 18) to train AI models. We do not use health insurance information to train AI models.

  6. Show advertising to adults. We share some information with advertising providers so we can show relevant ads to adult users of TeamLinkt. We do not show targeted advertising to children or youth or use children or youth data for advertising purposes. See Section 9 to opt out.

  7. Keep things secure. Detect fraud, abuse, and security incidents; investigate violations of our Terms.

  8. Comply with the law. Respond to legal requests, defend our rights, and meet legal obligations.

6. Who We Share Information With

We share information with the following categories of recipients:

6.1 Your Organization

People at your Organization who have a role that needs access — administrators, registrars, coaches, team managers — can see information relevant to their role. The Organization controls who within it has access to what. If you have questions about this, ask the organization.

6.2 Other Members of Your Organization

Some information is visible to other members based on how your Organization configures TeamLinkt. For example: a team roster may be visible to teammates and their parents; messages you send in a team chat are visible to others in that chat.

6.3 Service Providers

We use third-party service providers to help us run TeamLinkt. They process information on our behalf under contracts that require them to protect it.

6.4 Advertising Providers (Adults Only)

We share certain information with advertising providers to show ads to adult users. This may be considered "sharing" or a "sale" under some US state privacy laws (including California's CPRA), even though we don't receive money for it. We do not share children's or youth users' information with advertising providers for advertising purposes.

6.5 Legal and Safety

We may disclose information when we have a good-faith belief that disclosure is necessary to:

  • Comply with a law, court order, or government request;

  • Protect the safety of users or the public;

  • Investigate fraud, security issues, or violations of our Terms;

  • Defend our legal rights or those of others.

6.6 Business Transfers

If TeamLinkt is acquired, merges with another company, or sells substantially all of its assets, your information may be transferred as part of that transaction. We'll notify you and your Organization in advance.

6.7 What We Don't Do

  • We don't sell personal information for money.

  • We don't share children's personal information for advertising or train AI models on it.

  • We don't disclose health insurance information for any purpose other than the emergency-contact purpose it was collected for.

7. Children's Personal Information

This section is specifically about children under 14. We give children's data extra protection because it deserves extra protection — and because COPPA and Quebec's Law 25 require it.

7.1 Verifiable Parental Consent (VPC)

A child can only have a TeamLinkt account if a parent or guardian:

  • Creates the account for the child, or

  • Confirms consent through TeamLinkt's verifiable parental consent flow when the organization enters the child's information.

Before we activate a child’s account, we confirm that a real parent or guardian is giving consent using a method approved under COPPA — specifically:

  • A payment-card or online-payment transaction that notifies the account holder;

  • An explicit consent during registration that accepts Terms and Privacy and allows Child and Youth information to be stored in TeamLinkt

Because we disclose children’s information to your sports organization, we do not rely on the “email-plus” method, which COPPA permits only for services that never disclose children’s information.

If your child's information was entered into TeamLinkt without your consent, contact us at help@teamlinkt.com and we will work with you and the Organization to address it.

7.2 When Your Organization Enters or Imports Your Child’s Information

Sometimes a sports organization puts a child’s information into TeamLinkt before the parent has been asked for anything. This happens most often when an organization moves to TeamLinkt from another system and brings its past registration records with it.

The organization has to confirm it already has your consent. At the moment it enters or imports the records, the person doing it must confirm to us that the organization already obtained your consent for the original collection and that it has the right to give the records to us. That is a promise the organization makes to TeamLinkt, and we rely on it. It is not a substitute for the consent we ask you for directly.

We keep a record of consent. For every child on the platform we record how and when Verifiable Parental Consent was obtained, what notice was shown at the time, which organization the record came from, and any later refusal, withdrawal, or deletion request. You can ask us for the record relating to your child at any time.

What you can do. You can give consent, refuse it, or ask us to delete your child’s record at any point. Email us at help@teamlinkt.com. If your child’s information was entered without your knowledge and you want to know how it got there, tell us and we will find out and tell you.

7.3 What We Collect About Children

In addition to the categories in Section 4.1, for children we may collect:

  • Device tokens (so the child or parent can receive notifications about the child's account);

  • Advertising identifiers (collected by the device, but not used to target advertising at the child);

  • Parent-child linking information (to maintain the relationship for emergency contact and parental oversight).

7.4 What We Don't Do With Children's Information

  • We do not use children's information to train or fine-tune AI models.

  • We do not show targeted advertising to children.

  • We do not knowingly disclose children's information to advertising providers.

  • We do not retain children's information longer than necessary. See Section 8.

7.5 Parent Rights

As the parent or guardian of a child user, you can:

  • Review the personal information we've collected about your child;

  • Request deletion of your child's personal information;

  • Refuse to allow further collection or use of your child's personal information;

  • Revoke consent at any time. If you revoke consent, your child may no longer be able to participate in programs that require account-based registration.

To exercise these rights, email help@teamlinkt.com. We will respond within 30 days and complete most requests within 90 days.

8. How Long We Keep Information

TeamLinkt stores and processes information as long as we have a relationship with you, or the Organization you are part of. Once that relationship ends, or the account becomes dormant, we delete personal information on the timelines set out below.

Some personal information is deleted within twelve (12) months of the account closing or becoming dormant. Some categories go sooner, and a small number are kept longer where the law requires it.

When an account is dormant. An account becomes dormant once fourteen (14) consecutive months have passed with none of the following: a sign-in to the account; the member appearing on an active roster; a registration, schedule entry, or team message involving the member; or a payment made through the account. We use fourteen months so that someone who plays a single season each year does not go dormant during the off-season.

When a relationship ends. Your relationship with TeamLinkt ends when you close your account, when your Organization closes it, or when your Organization’s subscription ends and it does not move to another TeamLinkt plan.

We tell you before we delete anything. Before deleting information because an account has gone dormant, we email the account holder — and, for a child, the parent or guardian who gave consent — at least thirty (30) days beforehand. Signing in during that window resets the clock.

For children under 14, we remove personal information no later than six (6) months after the child’s account is closed or becomes dormant, except where a longer retention period is required by law.

Records that an organization entered or imported and for which Verifiable Parental Consent was never obtained are deleted at the end of the period described in Section 7.2, which is shorter than the periods above.

You can request earlier redaction by emailing help@teamlinkt.com. We honor these requests within 90 days.

9. Advertising, Cookies, and Your Choices

9.1 Cookies and Similar Technologies

We use cookies and similar technologies for:

  • Essential functions (keeping you logged in, remembering your preferences) — these can't be turned off without breaking the service;

  • Analytics (understanding how features are used);

  • Advertising (for adult users only).

You can control cookies through your browser settings. Disabling essential cookies will break parts of TeamLinkt.

9.2 Advertising (Adults Only)

For adult users of TeamLinkt, we share certain identifiers and usage information with advertising providers to show relevant ads and measure their performance. Adult users can opt out of this sharing at any time. To opt out, email privacy@teamlinkt.com from your TeamLinkt user's email address. We also treat browser-based opt-out preference signals, including the Global Privacy Control (GPC), as a valid request to opt out.

9.3 Children and Youth Are Excluded From Advertising

We do not include children or youth (under 18) in any advertising-related sharing. There is nothing for you to opt out of for a child or youth account because the account is never opted in.

10. AI Features (Emi and the Public AI Assistant)

10.1 What AI Features Do

  • Emi is our AI assistant for logged-in users. Emi can help with schedule questions, registration information, and other questions about your organization.

  • The public AI Assistant is available without logging in on some organization websites. It's intended for users 14 and older.

10.2 What We Do With AI Conversations

We may use AI conversations to:

  1. Provide the feature in the moment (so the AI can actually answer your question);

  2. Improve and fine-tune AI features — but only after personal information has been removed or de-identified using commercially reasonable methods;

  3. Generate aggregate, anonymized analytics about how the AI is used.

10.3 What We Don't Do With AI

  • We do not use children's or youth’s information to train or fine-tune AI models.

  • We do not use health insurance information to train AI models.

  • We do not use AI to make automated decisions about you that have legal or similarly significant effects without human review.

10.4 Important Things About AI

AI can be wrong. Don't rely on AI outputs for medical, legal, financial, or safety decisions. When in doubt, check with a person.

Please don't enter sensitive information (government IDs, financial account numbers, medical details) into AI features. If you do, we'll handle it appropriately — but we'd rather you didn't.

11. Your Rights

You have rights over your personal information. The specific rights you have depend on where you live.

11.1 Rights Available to Everyone

Regardless of where you live, you can:

  • Access the personal information we have about you;

  • Correct information that's inaccurate;

  • Request deletion of your information;

  • Withdraw consent to processing (this may end your ability to use TeamLinkt);

  • Receive a copy of your information in a portable format;

  • Contact our Privacy Officer at help@teamlinkt.com.

11.2 If You Live in Canada

You have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec's Act respecting the protection of personal information in the private sector (Law 25), and equivalent provincial laws in Alberta and British Columbia. In addition to the rights above:

If you live in Alberta, you also have the right to be told how to obtain information about our policies and practices for using service providers outside Canada, and to be given the name and contact details of someone who can answer questions about it. That person is our Privacy Officer, named at the top of this policy, and you can reach them at help@teamlinkt.com. Section 13 describes where your information goes.

  • You can request information about how your information is being used and disclosed;

  • You can ask us to stop processing your information for certain purposes;

  • Quebec residents have the right to data portability and the right to be informed about automated decision-making;

  • You can complain to the Privacy Commissioner of Canada (priv.gc.ca) or your provincial commissioner, or in Quebec, the Commission d'accès à l'information (cai.gouv.qc.ca).

11.3 If You Live in California

You have rights under the California Consumer Privacy Act / California Privacy Rights Act (CCPA/CPRA):

  • Right to know what personal information we collect, the sources, the purposes, and who we share it with;

  • Right to delete your personal information;

  • Right to correct inaccurate personal information;

  • Right to opt out of "sale" or "sharing" of personal information (see Section 9);

  • Right to limit use of sensitive personal information;

  • Right to data portability;

  • Right to non-discrimination for exercising these rights.

You may designate an authorized agent to make requests on your behalf. We will verify your identity before responding.

11.4 If You Live in Another US State

Residents of Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, Delaware, New Jersey, New Hampshire, Iowa, Tennessee, Minnesota, Maryland, Indiana, and other states with comprehensive privacy laws have similar rights, including access, correction, deletion, portability, and (in most states) opt-out of targeted advertising. Email help@teamlinkt.com to exercise these rights.

11.5 How to Submit a Request

Email help@teamlinkt.com. We will:.

  1. Acknowledge your request within 10 business days;

  2. Verify your identity (we may ask for information to match against your account);

  3. Respond within 30 days for most requests, or 45 days for CCPA/CPRA requests, with up to one extension where permitted by law;

  4. Complete the request within 90 days.

If we deny your request, you may appeal by replying to our written decision or by emailing help@teamlinkt.com with “Appeal” in the subject line. We will respond to your appeal within 45 days. If we deny your appeal, you may contact your state attorney general or other applicable regulator.

11.6 When We Redirect You to Your Organization

Because your Organization controls most of the information in TeamLinkt (see Section 2), there are some requests we can't fulfill on our own — particularly access to information that the organization controls or deletion of information the organization needs for its own records.

When this is the case, we will:

  • Tell you why we're redirecting the request;

  • Provide the organization's contact information;

  • Pass your request to the organization on your behalf if you'd like;

  • Continue to assist the organization in responding.

12. Data Breach Notification

If we have a data breach that affects your personal information, we will notify you and applicable regulators as required by law. In Canada this is governed by PIPEDA's breach-notification provisions and Law 25's confidentiality-incident provisions; in the US it's governed by state breach-notification laws.

13. Data Residency & International Transfers

TeamLinkt is a Canadian company, but the systems that run the platform are hosted in the United States. That is where your information is stored. Our people are located mainly in Canada and they reach your information from there in order to provide support, administer the platform, and keep it secure, so your information is also accessed and handled in Canada. Some of our service providers operate in other countries; the current list is available upon request by emailing privacy@teamlinkt.com. Information processed in the United States and other countries may be subject to the laws of those jurisdictions, including lawful access requests by courts, law enforcement, and government authorities.

If you live in Quebec, we assess these transfers before we make them and keep a written record of that assessment, as Law 25 requires. If you live in Alberta, see Section 11.2 for how to ask us about our use of service providers outside Canada.

14. Security

We use administrative, technical, and physical safeguards to protect your information, including:

  • Encryption of data in transit and at rest;

  • Access controls and the principle of least privilege;

  • Regular security audits and vulnerability scanning;

  • Employee training and confidentiality obligations;

  • Vendor due diligence and contractual protections.

No system is perfectly secure. If we discover a breach affecting you, we will notify you as described in Section 12.

15. Changes to This Policy

We may update this policy from time to time. When we make material changes:

  • We'll post the updated policy with a new "Last Updated" date;

  • We'll send notice — by email, in-app notification, or both — at least 30 days before material changes take effect;

  • Minor changes (typos, clarifications) may take effect immediately.

Notice by digital means is sufficient.
